Registering a new member with Special Olympics Ontario ( SOO )

If a person who has never been enrolled in a SOO program wishes to join as an athlete or a coach they must first be registered with SOO. This only happens once. A new registration is always checked by SOO to avoid duplicates.

The only way a new member can be registered is through the portal, preferably by the person joining. When registering an email is required, and that will be the email to log into the portal, so it must belong to the individual or either a family admin or a group home admin.

If an unregistered athlete or volunteer is actively involved the clubs insurrance policy may not cover anything that happens!

Athlete

For a new athlete, who has never been registered with SOO, there is a link Athlete Registration to start the process.

An athlete, 18 or older who may capable of using the portal will be guided through the steps. Note that they may need a volunteer's assitance in this.

If the athlete is to be registered by a Parent or Guardian, that person can be registered as a Family Admin. This will allow that person to manage the athlete's profile information and submit enrollments for that athlete.

An athlete in a Group Home may be managed by a Group Home Admin who will also be able to manage the athlete's profile and enrollments

Right now it is NOT clear what can be done for an athlete not in a group home and for whom there is no parent or guardian available; and is unable to manage on the portal.

Volunteer

For a new volunteer, who has never been registered with SOO, there is a link Volunteer Registration to start the process.

All new volunteers must supply two personal references, and those references must be checked, and the date they were checked must be entered into the portal.

There is an online form that a personal reference can fill out, it will ask for

A new volunteer over the age of 18 must supply a current Police Vulnerable Sector Check done for the area in which that volunteer lives. The volunteer will be reimbursed for the cost by providing a receipt.

If the new volunteer lives in Halton they may submit a request for this police check online. It will then need to be uploaded to the portal

Once references have been marked completed, and police check ( if needed ) has been uploaded, SOO should be notified so that registration can be completed.

Volunteer for Single Events

Many of our competitions require additional volunteers for the event. They do not necessarily need to be registered with SOO. If a volunteer at an event is not registered with SOO a Single Event Volunteer Registration Form needs to be read filled out, and signed by each such volunteer.

Family Admin

A Family Admin is a parent or legal guardian of an athlete who can manage that athlete on the portal. This means updating the athlete's profile, and submitting enrollment requests.

Family Admin is a role at the provincial level; to be registered as a family admin the parent or guardian must fill out Family Admin request form . Once the form is received and processed the parent or guardian will be contacted with further information.

Group Home Admin

A Group Home Admin would be an employee of Community Living or other such organization responsible for submitting enrollments and maintaining profiles for athletes in their organization.
