This page largely reflects my (MaryAnn CL's) experiences when we got 10-Pin Bowling up in the fall of 2020 and again this year. Your experiences, and decisions may differ.
There is a whole new process for taking and submitting attendance, and it will include 'external attendees' such as parents and workers who are not enrolled in your club; along with their contact information.
Please take this seriously and do it correctly. In the event of you needing to report a case of COVID-19 all of this information will be required ASAP; if you have not already submitted it you may have to scramble. In 2020 our 10-Pin club reported the first such case in the province and I was very glad I had submitted a complete attendance with all information. I had also preserved a list of who was on each lane for proximity information.
At the time this was written the province was doing contact tracing, so when a case was reported in a club SOO would take the attendace information entered from the portal and pass on to the province for contact tracing. In March 2022 10 Pin had a case and it turns out that the current protocol has the club doing the followup. If you keep a file with all external attendees up to date with contact information there is no need to enter the contact information when entering external attendees into the portal.
- Taking Attendance
- There is a new Membership Report: "65 - Attendance Report" which can be generated just before an in-person practice which will list all enrolled for ticking off receipt of Declaration Form and Waivers.
- You will also need to be prepared to record Names and Contact information of anybody else present who is not enrolled. These will be recorded as 'External Attendees'.
- For what it is worth I find it useful to have the list sorted by last name as family members tend to arrive together. Unfortunately the page for entering attendance only list by first name.
- External Attendees
- Many of these regularly present with their athlete and need to be added to each submitted attendance. I found it useful to add the regulars to the list I used to take attendance. Once they were on the list I did not have to keep asking for contact information.
- Create a file with their names and contact information so you can just copy/paste into the attendance report.
- If you have parents attending who are registered with SOO but not enrolled in your club it may be worth asking them to submit enrollments as Occasional Volunteers so they automatically are included and do not have to be added manually.
- I have a request in to include FA's in the attendance entry page to reduce the external attendees we need to list each week. Ticket is in, no idea if it will happen.
